We are looking for someone to work collaboratively with leadership, other support roles, and our team members to ensure we build an efficient and effective organization positioned well for growth.
MatX is hiring an Office Manager who will own the day-to-day experience of our office; from the physical space and food program to events and new-hire onboarding. This role falls under our Workplace Operations team, and reports to the Chief of Staff. Most importantly, this role partners closely with every team from IT/Security to People to the engineering teams.
MatX is an engineering-first company, and that shapes how everyone here works — including non-engineering roles. People here ask "why?" a lot. They poke holes in processes, question decisions, and give blunt feedback when something isn't working. This isn't adversarial; it's how we improve. The right person for this role genuinely values this dynamic and uses it to make their work better. We expect our Office Manager to treat feedback as signal, dig into root causes, and communicate their reasoning transparently, even when the answer is, "I looked into it and here's why we're sticking with the current approach."
What You'll Do
- Own the office experience end-to-end. Workplace operations including furniture, decor, maintenance, building access, and keeping the space functional and welcoming. You'll manage our food and beverage program: selecting and managing vendors, soliciting feedback on quality and timing. You'll coordinate with IT for technical support and equipment needs.
- Be the point of contact for building operations. Manage our landlord and property management relationship. Partner with IT/Security as the office safety warden: own emergency training, drills, and incident response. Provide on-call support for after-hours building emergencies.
- Onboard new employees. Partner with People Ops to set up equipment and desk space, welcome new hires, give office tours, and provide hands-on support as they settle in. You're the person who makes someone's first week feel smooth.
- Plan and run events that reflect who we are. That means happy hours and cultural celebrations, but also hackathons, demo days, and coding events. You'll work with the People team and engage actively with our engineers to figure out how to host events that reinforce our culture.
- Manage your budget and vendors. Partner with Finance on office operations expenses. Evaluate vendors on cost, quality, and reliability — and be ready to explain and defend those choices against alternatives.
- Pick up what needs picking up. Ad-hoc responsibilities will come up. We need someone with a bias toward action who doesn't wait to be told. “That’s not my job,” doesn’t exist at MatX. Instead, “I’ll grab that for now and figure out how to build a longer-term solution,” is the go-to.
Who You Are
- 2+ years of relevant experience. Office/facilities management, property management, operations, event management, program management, or similar roles that built the skills above. You’ve demonstrated the ability to own a function, respond well to feedback, and operate with autonomy in a fast-moving environment.
- You don't take critical feedback personally. When someone challenges a decision or flags a problem, your instinct is to understand the issue, not to defend the status quo. You can distinguish between "this person is being difficult" and "this person is telling me something useful".
- You seek out feedback proactively, including the uncomfortable kind. You don't wait for complaints to find you. You ask people what's working and what isn't, and you actually want to hear the honest answer. You'd rather learn that a vendor is underperforming from a quick survey than from a frustrated thread.
- You communicate with substance and transparency. When someone asks why you made a decision, you can walk them through your reasoning — the options you considered, the tradeoffs, and why you landed where you did. "It's just how we've always done it" isn't in your vocabulary.
- You own outcomes, not just tasks. This is a supporting role. There's a difference between "I ordered the catering" and "I made sure people are well-fed with food they actually enjoy at a time that works." You think about whether the thing you did actually achieved the goal, and you course-correct when it didn't.
- You're comfortable in an engineering-heavy environment. You don't need to write code, but you need to be ready to learn the tools and communication norms of a technical team — Github tickets for “office bugs”, Google Workspace, direct/async communication, comfort with data and structured thinking. You won't be rattled by someone responding to your all-hands announcement with three follow-up questions about the methodology behind your vendor choice.
- You move fast and adapt. Priorities shift quickly at a startup. You can context-switch, reprioritize, and execute without needing everything to be perfectly defined first.
Compensation
The US base salary for this full-time position is determined based on a variety of factors, including role, experience, location, job-related skills, and relevant education and training. Career length is only a guideline for compensation.
$100,000 - 130,000 + equity
