What you'll do
- Plan and oversee inbound and outbound shipments to and from Ukraine, including customs clearance, permits, and documentation.
- Coordinate with freight forwarders and third-party logistics (3PL) providers to ensure smooth transport.
- Maintain visibility over high-value and controlled items (e.g., ITAR, DG cargo, ISR payloads).
- Track and manage inventory levels at storage sites and forward operating locations.
- Ensure proper handling, documentation, and accountability of all equipment.
- Coordinate repacking, consolidation, and staging of gear as required for demonstrations or field operations.
- Serve as the primary logistics point of contact within Ukraine.
- Support onsite mobilization, setup, and demobilization of demo and test events.
- Facilitate transportation and delivery to remote or restricted locations, ensuring driver access and route planning.
- Ensure compliance with international trade regulations (e.g., ITAR, EUML, local customs).
- Coordinate with legal and export teams for documentation such as End User Certificates, Export Licenses, and Carnets.
- Track and maintain accurate records of imports/exports and temporary admissions.
Required qualifications
- International Logistics Expertise – Proven experience managing inbound and outbound shipments, including customs clearance, permits, and international freight coordination.
- Regulatory & Compliance Knowledge – Familiarity with ITAR, EUML, DG shipping, and local customs processes; ability to manage End User Certificates, Export Licenses, and Carnets.
- Inventory & Asset Management – Skilled in tracking, documenting, and maintaining accountability of equipment across multiple storage sites and forward operating locations.
- Operational Field Support – Experience supporting mobilization/demobilization of field operations or demonstrations in challenging environments.
- Vendor & Stakeholder Coordination – Strong ability to liaise with freight forwarders, customs brokers, local transportation providers, and security partners.
- Documentation & Reporting – Proficient in maintaining shipment trackers, delivery logs, customs records, and generating after-action reports.
- Technical Proficiency – Competence with Microsoft Excel, shipment tracking tools, and logistics systems.
- Problem-Solving & Adaptability – Ability to operate independently in high-tempo, ambiguous, and international environments.
- Communication Skills – Clear, professional communication across HQ, local partners, and cross-functional teams; ability to provide timely updates.
- Regional Experience – Ukrainian language skills and/or prior experience operating in Eastern Europe strongly preferred.
Preferred qualifications
- Experience in international logistics or military logistics support roles.
- Familiarity with shipping dangerous goods, ITAR-controlled items, and temporary imports.
- Strong organizational skills with attention to detail and documentation.
- Ability to work independently in a high-tempo and ambiguous environment.
- Proficiency in Microsoft Excel, shipment tracking tools, and logistics documentation.
- Ukrainian language skills or experience operating in Eastern Europe is preferred.
